Clubhouse Coordinator Job Description
Overview:The Clubhouse Coordinator is responsible for all Clubhouse activity, as well as maintenance of the Clubhouse availability calendar. This includes: being responsible for general clubhouse maintenance and upkeep, answering questions about rental policies and procedures, keeping the calendar up to date, receiving contracts and payment for paid rentals, managing free rentals/community clubs, and scheduling after hour pool/patio rentals.
Specific Duties/Responsibilities:
Community Calendar
- Keep the community calendar up to date at all availability of the clubhouse:
- Paid Rentals
- Community Clubs / free rentals
- Committee Meetings
- Committee Activities
- Block the entire day for paid rentals
- Reserve 1 hour before and after for community clubs / free rentals to allow for setup and cleanup
Rental Email Account
- Access and stay current on the rental email account
- Respond to all emails within 2 business days
- Be professional and courteous
Clubhouse Security
- Track and issue keycards/Alarm codes given to resident renters / clubs
- Provide a keycard during pre-walkthrough
- Ensure keycard is returned during post-walkthrough or dropped in the clubhouse mailbox; do not refund deposit until keycard is received.
- Verify clubhouse is cleaned by renter and back in order before returning deposit
- Check Clubhouse mailbox at least two times a week
Clubhouse Maintenance
- Ensure the Clubhouse is fully stocked with supplies (paper towels, trash bags, cleaning supplies, etc.)
- Keep the Clubhouse in working order- check up on building as needed and ensure any issues are promptly reported and resolved
- Ensure rental fridge is clean and emptied/usable
Compensation
The Clubhouse Coordinator is paid $50 per paid Clubhouse rental and $50 for every paid after hour pool/patio rental. Rentals must be documented and a detailed listing sent to ACS West to receive payment.
